Vendors/Exhibitors at Honolulu

Notice to Vendors and Exhibitors:

Going . . . going . . . GONE

AFTE's 39th annual training seminar will be held May 18th thru the 23rd, 2008 at the Ala Moana Hotel in Honolulu, Hawaii.  In attendance will be hundreds of forensic firearm/toolmark examiners, trainees, and other interested parties.
Vendors and Exhibitors will be presenting their displays to those in attendance in the "Garden Lanai" room at the hotel.

Space is very limited this year.  The room will accommodate a total of only 21 tables.

Some vendors will require more than one table, so the total number of vendors will be less than 21.

The maximum number of table for any one vendor will be three.

1 table for $400
2 tables for $800
3 tables for $1200
3 tables in the three preferred areas (two corners and the stage) for $1400

Attached below is a diagram of the Garden Lanai.  The blue rectangles are the tables available which measure 2 1/2 feet by 6 feet.

Spaces 6-8, 10-12, and 13-15 are available as three-table blocks of space for those vendors who need a lot of room for big displays.  As mentioned above, these three block spaces have a premium price.


Space 1 has been reserved by Precision Forensic Testing.

Spaces 2 and 3 have been reserved by Forensics Source.

Space 4 has been reserved by Leeds.

Space 5 and 5a have been reserved by Gradient Lens.

Spaces 6, 7, & 8 have been reserved by SEC Technology.

Space 9 has been reserved by Savage Snail.

Spaces 10, 11, & 12 have been reserved by Forensic Technology.

Spaces 13 and 14 have been reserved by Cybernational.

Space 15 has been reserved by Leica Geosystems.

Space 16 (and maybe 17) has been reserved by Leica Microsystems.

Space 18 has been reserved by BAE Systems.

Space 19 has been reserved by Twin Tooling.

Cynthia Goya, from the Ala Moana, says that the room will be available for set up early Sunday.  All displays must be removed by Thursday night.

Here's what I would like the vendors to do.

1.  Call me on the phone between 9:00 AM and 4:00 PM Alaska Time (when it it 1:00 PM in New York it's 9:00 AM in Alaska).  Call my office M-F (907) 269-5684.  If you are out of country and wish to avoid an international phone call email me at: bobshem@alaska.com indicate the table location(s) you prefer.

2.  Request an open table, or two, or three.  I will block out your spot on the map of the Garden Lanai above.

3.  Mail your check to Cindee Saito in Honolulu.  If she doesn't receive the check in 30 days after I reserve your table I will release the spot(s) to another vendor.

4.  Make your check out to AFTE 2008.  Mail it to:

Storage of Vendor Shipping Crates and Containers

Some of the exhibitors may find a challenge in storing their shipping crates and containers.  The hotel informs me that there are no formal provisions for the storage of shipping containers, so they suggest that any boxes or crates that won't fit under your table or display will need a different home.  There will be no place inside the hotel for large crates and boxes.

My suggestion would be for vendors to store their crates in their hotel rooms, assuming that the crates break down far enough to fit through the room entry.  That would be the cheapest option if you don't mind the sides of a travel-weary plywood crate next to your bed.

Another suggestion would be to contract with a local self-storage locker company for the duration of the seminar.  The following information was provided to me:

http://www.publicstorage.com/estimate/ssEstimateResults.aspx - Public Self Storage has a Unit on Kapiolani which is approximately I'd say 2 or 3 blocks away from the hotel.  I have spoken with a representative there and she had told me that they only rent month to month basis.  For a 150 Sq Ft Unit it would cost approximately $388.00 + $22.00 admin Fee.    They do not require a deposit.  She said as the month comes closer, they may be running a special.

http://hawaiiselfstorage.net/convenience.asp - Hawaii Self Storage is in Waialae and I would say it is about a 15 – 20 min drive depending on the time of day.  They also rent only month to month basis and have a fee of $480.00 with no admin fees.  They also have staff on 24 hours a day, so if he needs anything someone will always be there.

These are the 2 most prominent locations closest to our hotel.


If the second option is the only feasible option, I would suggest that vendors contact the self-storage folks in the links above and make arrangements as soon as practical.

Here's what you get for your vendor's fee:

If you rent one space:
One vendor spot (table, electricity, etc.) and one seminar registration and packet.  The packet includes a program and handouts, four lunch tickets and one banquet dinner ticket.  Additional lunch and banquet tickets are available for purchase.

If you rent two spaces:
Two vendor spots (tables, electricity, etc.) and one seminar registration and packet.  The packet includes a program and handouts, eight lunch tickets and two banquet dinner tickets.  Additional lunch and banquet tickets are available for purchase.

If you rent three spaces:
Three vendor spots (tables, electricity, etc.) and one seminar registration and packet.  The packet includes a program and handouts, 12 lunch tickets and three banquet dinner tickets.  Additional lunch and banquet tickets are available for purchase.

Those folks accompanying or assisting the "main" vendor do not need to pay a registration fee for tending to the exhibit; however, everybody who will be exhibiting should provide their names and company affiliations for their ID badges.

An update on crate storage:

Cynthia Goya from the hotel informed me today that crates cannot be stored in the outdoor loading dock area on the hotel grounds.  So, that option is off of the table.

One other possibility that was brought to my attention would be for several vendors to join together and rent a storage unit and split the cost - assuming that the storage unit is large enough to accommodate two or more exhibitors' crates.

The Vendor contact information has been updated (see the beginning of this thread).  All of the Vendor companies are the same but some of the contact names have changed.

Again, feel free to contact the vendors if you wish a preview.  Also, try to stop by the Garden Lanai and spend time studying the products offered by our vendors and exhibitors.
